Privacy Policy.
Effective date: November 5, 2026
This policy explains what information SUIAPP.AI INC. ("SUIAPP.AI", "we", "us") collects, how we use and share it, and the choices you have. It covers our website, suiapp.ai, and our registration service at platform.suiapp.ai (together, the "service"). If you use the platform, the terms you accept there also describe where your data goes; this policy says the same things in more detail.
1. Who we are
SUIAPP.AI INC. registers employers for State Unemployment Insurance (SUI). We are based at 10 Old Mamaroneck Road, Suite 1C, White Plains, NY 10605, and you can reach us about privacy at support@suiapp.ai.
2. Information you give us
On the website
- Waitlist. Your first and last name, email address, mobile number (optional), the states you want to register in, and optional details: your business's name and type, whether you file for yourself or for clients, your role, and whether you are interested in payroll services.
- Contact form. Your name, email address, your message, and whether it goes to sales or support. It is delivered to us by email, and we reply to the address you give.
- Reviews. If you share a review: your name, role, company, the type of reviewer you are, your ratings and review text, and, if you add them, your company website and social media handles, plus your email address. Your email address is for follow-up only and is never published. A review is only published with your permission, and only after we approve it.
- Meetings. When you book a meeting, the booking page is provided by Cal.com. The details you enter there, such as your name, email address and any notes, go to Cal.com to schedule the meeting and are shared with us so we can hold it.
On the platform
- Your account. Your name, email address and password, and the profile details you add: your phone number, your position, and whether you are a business owner or a filing firm. Your password is stored by our sign-in provider in hashed form, never in plain text.
- Your registration answers. The information New York's unemployment insurance employer registration (form NYS-100) requires: details about the business, its locations, payroll and employees, and about its owners, members or officers, including names, dates of birth, home addresses, Social Security numbers and the business's EIN.
- The assistant. What you type, dictate or attach in the assistant's chat box, and any document you attach so the assistant can read details from it. Dictation uses your browser's built-in speech recognition.
- Filing professionals and their clients. If a filing professional (for example, an accountant) sends you a questionnaire link, your answers are shared with that filing professional so they can review and file the registration.
- Payments. Payment is taken on Stripe's hosted payment page, so card details never reach our servers. We receive confirmation of the payment, not your card number.
3. Information collected automatically
- Site analytics. We use Vercel Web Analytics and Vercel Speed Insights, which record aggregated page views, referring sites, approximate location (country or region derived from your IP address), device and browser type, and page performance timings. These tools set no tracking cookies, do not store your IP address and do not follow you across other websites.
- Heatmaps and session replays. We use Microsoft Clarity to see how visitors use the website. It sets first-party cookies, masks the text you type, and is governed by Microsoft's privacy statement.
- Our own visit count. Our servers keep a daily count of visits by US state, page and referring site. No cookie, IP address or other identifier is stored with it.
- Your browser. The website remembers your language choice and display preference in your own browser's storage. That stays on your device and is not sent to us.
- Fonts. The website loads its fonts from Google Fonts, so your browser connects to Google's servers to fetch them.
4. How we use information
- To prepare and file your unemployment insurance registration, and to email you questionnaire links, reminders and confirmations.
- To answer your messages, hold the meetings you book, and tell you when registration opens in your state if you joined the waitlist.
- To publish reviews you have given us permission to publish.
- To run, secure and improve the website and the service, and to prevent fraud and abuse.
- To meet our legal obligations.
5. How we share information
We do not sell your personal information, and we do not share it for advertising. We share it only as follows.
- New York State. When a registration is queued, we enter it into the state's NY Business Express portal and submit it to New York on behalf of the business. That is the purpose of the service.
- The filing professional who sent you a questionnaire link, as described above.
- Service providers that run parts of the service for us, under their own terms and privacy policies:
- Supabase: our database and sign-in;
- Vercel: hosting, and the site analytics above;
- Resend: our email;
- Stripe: payments;
- Anthropic: our Artificial Intelligence provider. What you type, dictate or attach in the assistant's chat box is sent to it to produce the reply. Anthropic does not train its models on this content. Under its standard terms, Anthropic deletes it within 30 days, and keeps it longer only when its safety systems flag it for review under its Usage Policy or when the law requires. We never send Anthropic the Social Security or EIN numbers stored in our system. We have asked Anthropic for zero data retention, and if it is granted we will update this policy;
- Google Cloud Text-to-Speech: when you ask the assistant to read a reply aloud, the text of that reply is sent to Google to turn it into audio;
- Microsoft Clarity: heatmaps and session replays of the website;
- Cal.com: meeting scheduling;
- Google Fonts: the website's fonts.
- The law. When the law requires it, or to protect the rights, property or safety of our users, the public or SUIAPP.AI.
- A change of ownership. If SUIAPP.AI is merged, acquired or sells its assets, information may pass to the new owner, who will remain bound by this policy for information collected under it.
6. Social Security and EIN numbers
Social Security and EIN numbers are encrypted before they are stored, and they leave our servers only to be filed through the New York filing portal. The one exception is an EIN: the account holder who owns a registration can view it in order to correct it. The form has its own protected fields for these numbers, so please don't type them into the assistant's chat box, which sends what you type to our Artificial Intelligence provider.
7. How we protect information
Information travels to and from the service encrypted, and Social Security and EIN numbers are encrypted again before they are stored, with AES-256 encryption. Each account can see only its own records, and the questionnaire and payment links we send are private and expire after seven days. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security breach affects your personal information, we will notify you as the law requires.
8. How long we keep information
We keep personal information for as long as we need it for the purposes in this policy: to provide the service, to keep a record of registrations filed through it, and to meet our legal, tax and accounting obligations and resolve disputes. Waitlist details are kept until registration opens in your state or until you ask us to remove them. When information is no longer needed, we delete it or make it anonymous.
9. Your choices and rights
- Access, correction and deletion. You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, by writing to support@suiapp.ai. We will confirm who you are before acting on a request, and we may need to keep some information the law requires us to keep, such as records of a registration already filed with New York.
- Waitlist and emails. Write to us to leave the waitlist or to stop receiving emails other than those needed to complete your registration.
- Cookies. You can block or delete cookies, including Microsoft Clarity's, in your browser's settings. The website still works without them.
- State privacy laws. Depending on where you live, you may have further rights under your state's privacy law. We will honor them where they apply. We do not sell personal information or share it for cross-context behavioral advertising.
10. Children
The service is for businesses and the people who run them. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.
11. Where we operate
SUIAPP.AI is a US company and the service is offered to businesses registering with US states. If you use it from outside the United States, your information is transferred to and processed in the United States.
12. Changes to this policy
We may update this policy. When we do, we will post the new version on this page with a new effective date, and if the changes are significant we will tell platform users by email or in the service.
